How to Bank Your Monies
To ensure that we can track all funds raised by each location, keep things legal,
and to qualify for match funding, it is important that funds raised for charity
are banked using a set process.
Charities Trust, a charity that administers charitable funds tax efficiently, will
be managing all funds raised, on our behalf.
The following banking process applies to all charitable funds raised:
- Each location will be issued with a paying in book, identifiable by a special code
relating to that location.
- Paying in books will be held by Community Champions and will be kept with the
Community toolkit.
- On completion of a fundraising event the fundraiser must contact the community champion
for their location to request a paying in slip and a match fund request form.
- Monies must be banked using the paying in slip provided through any branch of Barclays
bank, click here to find your nearest branch.
- The fundraiser must complete the match fund request form (click here to
download form) and must include the paying in slip reference number and
the name of the charity to benefit.
- The match fund request form should be returned to the Community Team at Liverpool
as soon as possible after banking of monies.
- Charities Trust will send a regular report of funds banked to the Community Team.
- If the fundraising event was a sponsored event then copies of the sponsor form should
also be sent with the match fund request form, this allows for gift aid to be claimed.
- A cheque made payable to the chosen charity will be issued for the amount including
match funding, this will be issued within a week or two of receipt of match fund
request form, and is subject to monies being banked correctly.
- Charities Trust will then claim the 28% giftaid where applicable, as this takes
some time to come through, Charities Trust will then retain this for payment to
the charity at the end of the year when fundraising has ceased.
